Definition Letter
Letter is the means of communication used to convey
information in writing by one party to another . Definition of the letter are
general and applicable for various purposes depending on the intent and purpose
of each sender of the letter , where the letter could be a letter of meeting
invitation , the supply of goods , customer complaints , employment contracts ,
termination of employment , the decision letter and others .

Element of Letter
a. The sender address
Created at the beginning so easy for recipients to identify who the sender of the letter. Leave a gap of 1 line and write down the date.
b. Date
The date format is Month Day, Year (September 26, 2014). Do not use the format 09/26/2014 and avoid adding st, nd, rd, or th (21st, 22nd or 26th). Leave a gap of 1 or 2 lines depends on the contents of the letter, and write the name of the recipients.
c. Recipients of the letter
Write a letter recipient's full name, job title or job recipient of the letter, and the name of the company where the recipients work. if you do not know the names of the recipients, you may write his post only. Also write the recipient's address. Leave a gap of 2, 3, or 4 rows.
d. Regards opener
Dear Ms. / Mrs. / Mr. Last name, - If the name is known.
Dear Director of Marketing Department, - If the name is not known.
To Whom It may Concern, - If the name is not known.
Do not forget to put a comma at the end of the greeting. Leave a gap of 1 line.
e. Subject (optional)
Sometimes the official letter no such thing as the subject. Its function is so easy to know who received the letter this letter about what. This subject should be there or not. It contained a letter that the title of this letter about giving information, invitation, or other mailing. Leave a gap of 1 line.
Note: Subject Format under greeting is British English format, while the subject upon greeting an American style
f. Body
All things that the reason for writing a letter you can enter in this section. Inter paragrah spaced 1 line. Give the distance of the line before the concluding part.
g. Cover
To cover letter you can use words like Sincerely, Sincerely yours, Thank you, and others. Note only the first letter of the concluding part of the capital. Add a comma at the end of the cover. Leave a gap between the cover and the names of about 2, 3, or 4 depending on the size of the signature and letter size.
h. Signature
Signature in this section. Usually use black or blue ink.
i. The name of the sender
Write the name of the sender here and if you want you can write the post under the name. Leave a gap of 2 lines or more for attachment.
j. Appendix (Enclosure)
If the letter sent has an attachment, the attachment must be mentioned. If there is only one document attachments you can write enclusure but if more then you have to write Enclosures (#). Replace fence # symbol with the number of documents you wish to attach.
k. Reference initials
Sometimes the letters we find writing like JB / am. The article is called reference initials and have a sense that the letter was made by two people.
The first is to draft a letter written in capital letters, while the second person who wrote the letter is written in small letters. So JB / am could mean Juju Bandung / Agnes Monica.
Reference initials can be written in two formats namely JB / am or JB: am
